Employer Events Administrator

To deliver effective and efficient administrative support to the Careers Advisory Service. This vital service role has the responsibility for liaison with Graduate Recruiters and the planning and organisation of the Careers Events Diary. Excellent IT skills (particularly the use of Microsoft Excel and Access) are important as is a professional approach to work and credibility with Graduate Recruiters. The Administration Team comprises three administrative staff with a variety of shared and distinct responsibilities, line managed by the Employer Relations Manager. The overall ethos of the team is a shared responsibility for the smooth, effective administration of the Careers Advisory Service.


Job Description
Responsible To: Employer Relations Manager
Job Summary And Purpose:To deliver effective and efficient administrative support to the Careers Advisory Service. This vital service role has the responsibility for liaison with Graduate Recruiters and the planning and organisation of the Careers Events Diary. Excellent IT skills (particularly the use of Microsoft Excel and Access) are important as is a professional approach to work and credibility with Graduate Recruiters.
Key Responsibilities : Events administrator covering employer presentations, employer visits, on campus recruitment activity. First point of contact for all employer queries. Effective communication to ensure appropriate advice or referral. Internal university liaison to ensure that employer events are planned, administered and run according to Careers Advisory Service procedures.? Sales and marketing of activities that increase the income of the Careers Advisory Service such as direct mailing and room hire. Encouraging recruiters to use charged and non-charged services.? Events Publicity administration ? organising the emailing and direct mailing to students of information publicising events arranged by both CAS and employers.? Administration of the Careers Advisory Service contact management system including the advertising and marketing of events for students.? Arrangements for employer visits ensuring employers using CAS facilities have everything they require for the day, and acting as point of contact on the day.? Data input of completed HESA Destinations of Leavers in Higher Education (DLHE) survey forms. Also, creation of Microsoft Access queries and reports using data gathered from the survey. Creation of Microsoft Excel spreadsheet reports for distribution to academic office, departments and publication in the Careers Advisory Service information room and website.? Responsibility for creation and distribution of internal and third party graduate surveys; including the collation and initial analysis of surveys and of student and employer feedback forms. Distribution of information gathered to appropriate recipients.? Remittance administration - dealing with the administration of all income from employers using CAS rooms, and charged email/direct mail services.? Administrative support for Careers Advisers including arranging talks and room bookings, publicity, correspondence, booking travel and accommodation. ? Production of marketing and promotional material. Responsibility for updating and distributing the ?Services to Employer Information Pack' as required. Responsibility for servicing CAS weekly staff meetings including agenda production and minute taking.? Provide cover in times of annual leave / sick leave of other members of the service to cover primary duties?
