Shared Services Operations Coordinator

This role is London based and will focus on supporting the Operations Team in various activities, including the day to day up-keep of all London Offices to ensure the office sites run efficiently. He/she will also be expected to support key activities in internal projects and will be expected to be very hands-on, and perform some administrative tasks/cover for holiday periods.

Description of tasks:

Office Support

  • Support facilities incident management lifecycle
  • Support daily audits of the offices to ensure office is in line with the standard of tidiness and work with the Partners when required
  • Schedule in necessary repairs in line with the operational budgets
  • Support utilisation checks recording the number of desks in use vs vacant  
  • Support maintenance of the statutory requirements related to the office sites schedule
  • Work closely with other departments to ensure smooth operation throughout all offices

Project support

  • Working closely with the Operations Team, in accordance with Head Office guidelines, responsible for support of internal projects and processes, including but not limited to;
    • Office relocations
    • New office set ups
    • New systems roll out
    • Compliance programmes
    • Roll out of new processes

Person specification:

  • Relevant office management experience, including knowledge of statutory requirements
  • Experience of managing suppliers and SLAs
  • Understanding of Reply corporate standards in relation to facilities
  • Understanding of project management processes & methodology
  • Ability to liaise with senior stakeholders in all areas of responsibility in a credible manner
  • Good verbal and written communication skills
  • Excellent attention to detail
  • Excellent organisation and administrative skills
