Overview

We are recruiting on behalf of our client, an established financial planning practice based in Brighton, for a proactive and organised Graduate Administrator. This is a structured graduate scheme offering hands-on experience across the client and case lifecycle, with a clear, supported pathway towards becoming a qualified Financial Adviser.

Graduate Scheme & Progression

  • Year 1 – Administrator: 12 months building a grounding in back-office processes, case management, and client service.
  • Year 2 – Specialisation: A further 12 months in a specialist area of the business, leading towards an advice-giving role.
  • Study support towards recognised financial planning qualifications (e.g., Diploma in Regulated Financial Planning).
  • Regular progress reviews with the Practice Manager, plus mentoring from experienced advisers.

Key Responsibilities

New Business & Case Management

  • Prepare and submit advice sets for new business cases, including illustrations, applications, and suitability letters.
  • Own allocated client cases end-to-end, chasing pipeline business and provider requests to keep everything on track.
  • Prioritise casework in line with the Practice Manager’s SLAs.

Client Meetings & Onboarding

  • Prepare client files ahead of meetings and format notes/actions afterwards, updating internal systems accordingly.
  • Set up new clients fully and accurately across all relevant systems.

Client Communication

  • Handle incoming calls and client queries professionally, resolving or escalating as needed.
  • Manage mail and correspondence promptly, and draft clear, professional written communications.

Marketing

  • Organise and distribute marketing materials for campaigns and client touchpoints, in line with brand and compliance standards.

Skills & Experience Required

  • A degree (or equivalent) and genuine interest in a long-term career as a Financial Adviser.
  • Administrative or client support experience is a plus, ideally in financial planning or professional services.
  • Excellent organisation, attention to detail, and ability to manage multiple priorities to deadline.
  • Strong verbal and written communication and telephone skills.
  • Proficient in Microsoft Office; CRM familiarity desirable but not essential.
  • Client-focused, self-motivated, and a good team player.
  • Willing to undertake professional qualifications as part of the progression pathway.
