Purpose of Role:

To create a welcoming, calm and efficient front-of-house experience for visitors, members and staff, ensuring Reception is consistently staffed, tidy, and visitor-ready.

This is an ideal opportunity for a school leaver or graduate who is keen to start their career in a professional office environment. You will support the Front of House & Facilities Manager with day-to-day reception operations, meeting room readiness, office supplies, basic IT and administration.

What we will expect you to do:

  • Provide a friendly, professional welcome to all visitors and members, ensuring an excellent first impression

  • Register and manage visitors with building reception at ground floor using their systems

  • Escort guests to meeting rooms

  • Maintain a tidy, professional Reception area and remain visible/available at the desk throughout the day

  • Monitor and manage the general enquiries inbox, forwarding queries to the correct teams

  • Support simple internal tracking tasks

  • Support meeting room bookings using our Skedda system, including moving bookings where required by liaising with the booker, and communicating changes clearly

  • Ensure meeting rooms and conference rooms are tidy, stocked, and ready for use

  • Make sure that the technology in the meeting rooms is ready, and escalating if not

  • Assist with catering set-up for meetings (eg. breakfasts, lunches, drinks trolleys) including senior-level meetings

  • Assist with ordering and maintaining office supplies (eg. kitchen supplies, stationery, branded items)

  • Support deliveries and post: receiving items, handing over appropriately, and booking couriers when required

  • Escalate facilities issues promptly (eg. toilets, printers, general faults) to the Front of House & Facilities Manager

  • Undertake First Aider and Fire Marshal training early in the role as part of your development

  • As you progress and once you are ready you will take on more tasks, activities and responsibilities.

We are looking for someone who:

  • Is friendly, approachable and confident

  • Enjoys helping and solving problems

  • Is well organised with good attention to detail (especially with visitors, bookings, and admin)

  • Is able to stay calm when Reception is busy

  • Has good written and verbal communication

  • Is comfortable using Microsoft 365 (Outlook, Teams, Word) and happy to learn internal systems

This is an entry-level role and we welcome applications from school leavers or graduates.

Helpful (but not essential):

  • Customer service, hospitality, retail, or office admin experience

  • Experience using booking systems or handling enquiries

  • Interest in office operations, facilities, events, or workplace support

To apply, please forward your CV and a cover note to us.

Please note this job description describes (but does not limit) the main duties and responsibilities of the job. These are subject to variation by the IA as is necessary to respond to changes, both internal and external, which the IA experiences.
